Microsoft 365 Copilot adoption planning checklist
Gather your team and use this checklist to begin your planning process. Import it into Microsoft Lists or add additional content as needed in your organization. Click here to download a version of this checklist in Excel.
- Identify your Executive Sponsor for your AI transformation. This person will help explain to all employees why you are rolling out Copilot in your company.
- Build your team. Bring together business leaders, your IT people and those who will run the community and focus on skilling your people.
- Pick your Champions and early adopters. Your Champions will help business users use Copilot. Select business users who have a process or department in common and that are willing to onboard first.
- Complete the technical readiness. Have your IT team deploy licenses and make sure Copilot is available in Microsoft Teams, Outlook and Office applications. Use our FastTrack team and readiness guides to help with this and all technical readiness.
- Nurture a learning community. Communicate with your business users giving them example prompts, sharing resources, encouragement and conducting training sessions.
- Monitor your usage and talk your staff. Prioritize understanding how to continuously improve their experience and the organizations results.

Deploy licenses
You can manage Microsoft 365 Copilot licenses in the Microsoft 365 admin center. You can assign to individual users or to groups of users, and also reassign licenses to other users.

A Community of Practice generates excitement, encourages sharing learnings, and supports future Copilot Champions and experts.
We recommend using the Copilot community template in Microsoft Viva Engage for enterprise organizations already utilizing Viva Engage, but small/medium business may opt for Microsoft Teams or other community chat tools.

Review user feedback
Review success measures. Conduct user feedback surveys and review results. Gather and amplify success stories. Address user training issues and resolve common challenges based on this data,
Perform Service Health Reviews
Service health reviews are where the implementation team and business stakeholders come together to review the insights from their AI transformation projects. Use the Microsoft 365 Admin Center and the Copilot Dashboard data for these check-ins along with insights from the prior step.
Discuss opportunities for further improvements and prioritize activities in these action oriented, roundtable sessions.
