Summary
Dumfries and Galloway Council (the Council) is the third largest region in Scotland, covering over 2,000 square miles and almost 150,000 residents. As a unitary authority, the Council provides a full range of back office and front-line services involving extremely diverse and complex standards for information handling. With RecordPoint, Dumfries and Galloway Council has developed a robust set of records and information management policies that will support staff and allow the Council to meet its legislative requirements today, and into the future.
Challenge
The Council is currently embarking on the implementation of their approved Records Management program to ensure compliance with the following goals:
- Improve the management of unstructured information across the organization
- Ensure Compliance with Public Records (Scotland) Act 2011.
- Ensure Compliance with Data Protection Act 1998; the General Data Protection Regulations (EU 2016/679) and Freedom of Information (Scotland) Act 2002
Strategy
The Council is providing their employees a modern workplace leveraging Office 365 and SharePoint. The Council recognized that they needed a compliant way forward to enable productivity gains, improved collaboration, and sharing across services.
In addition, the Council chose RecordPoint as the technology solution to support 3,000 corporate users with the flexibility to enable an additional 2,000 users in education. Furthermore, in addition to meeting their current technology landscape, RecordPoint met the Council’s future migration strategy to the cloud leveraging Office 365 standalone or an Office 365/SharePoint hybrid environment regardless of whether the SharePoint servers are positioned on premise in a council data center or in the Azure Cloud.
When it was time to modernize our records management program, we decided to stick with Microsoft. Leveraging the investments made to our SharePoint environment and bringing in new ways to collaborate with Office 365 was a smart move.
